Terms of service

Last updated 15 September 2026

These terms cover using Staffology OS — the website, the web app, the API and the mobile app. Using the service means you accept them. If your company has signed a separate agreement or order form with us, that agreement wins wherever the two differ.

Workspaces and accounts

A workspace belongs to the company that created it, not to the person who signed up. Its admins decide who may join, what each person can see, and what happens to the data in it. Keep your password to yourself, use a strong one, and tell us if you think someone else has it. You are responsible for what happens under your sign-in.

Your data stays yours

Everything a workspace puts into Staffology OS — its clients, candidates, contacts, deals, documents and messages — remains that workspace's. We store and process it to run the service, as described in our privacy policy, and for no other purpose. We do not sell it and do not use it to train AI models. You can export your data while your workspace is open.

Using it properly

  • Send only what you may send. You are responsible for having the right to hold the details you upload and to contact the people you email, and for following the marketing and privacy laws that apply to you.
  • Don't break it. No attempts to breach security, no scraping around the API's limits, no reselling access without our agreement.
  • Don't use it for harm. No illegal, deceptive or abusive use, including email nobody asked for.

Accounts used this way can be suspended, and we will tell the workspace's admins why.

Paying for it

Plans, prices and billing periods are the ones shown when a workspace subscribes, or the ones written into its order form. Fees are charged in advance for the period, and are not refundable for part of a period unless we agree otherwise. A free plan or a trial stays free until you choose a paid plan; a trial that ends without a plan keeps the data and limits what can be done until you pick one. Prices can change with 30 days' notice before a renewal.

Availability and support

We aim to keep the service available around the clock and to fix problems quickly, and we will give notice of planned maintenance where we can. We do not promise uninterrupted service on these standard terms. Support is by email at support@staffologyos.com. A guaranteed uptime or response time only applies if it is written into a signed agreement.

Other services you connect

You can connect a mailbox, a calendar, a meeting tool or a payment provider. Those services have their own terms, they are not ours to control, and connecting one lets Staffology OS act on what that service allows. Disconnect it at any time from Settings.

Ending it

A workspace can stop at any time: cancel the plan, or delete the workspace from the app. Deleting is permanent — it removes the workspace's records, documents and files, and cannot be undone. We may end an account that breaks these terms or leaves fees unpaid, after telling the admins. After a workspace closes, its data is deleted as described in the privacy policy.

Liability

Staffology OS is provided as it is. To the extent the law allows, we are not liable for lost profits, lost business or indirect losses, and our total liability for any claim is limited to the fees the workspace paid in the twelve months before it. Nothing here limits liability that cannot legally be limited, such as for fraud or for death or personal injury caused by negligence.

Changes to these terms

We may update these terms. The date at the top changes, and anything material is announced in the app at least 30 days before it applies to an existing workspace. Continuing to use the service after that means accepting the new version.
